Shopify Order Fulfilment in the UK: A Merchant's Guide

Shopify fulfilment through a UK 3PL works like this: your store is connected to the 3PL's warehouse system, orders flow to the warehouse automatically as customers check out, the warehouse team picks, packs and dispatches each parcel, and tracking details flow back into Shopify so your customer is notified. You never touch the parcel, and your stock levels stay accurate without manual updates.

How Shopify to 3PL fulfilment works in practice

This is the standard mechanism, whatever provider you choose:

  1. Your stock moves to the warehouse. You send products to the 3PL, where they are received, checked and booked into storage locations.

  2. Your store is connected. The 3PL links your Shopify store to its warehouse system, typically through Shopify's fulfilment settings or an app. Ask any provider you shortlist to walk you through exactly how their connection works.

  3. Orders flow automatically. When a customer checks out, the order appears in the warehouse system without anyone retyping it.

  4. Pick, pack and dispatch. The warehouse team picks each item, packs it securely, applies the shipping label and hands the parcel to the courier.

  5. Tracking flows back. Tracking details are pushed back into Shopify, which notifies your customer that their order is on its way.

  6. Returns come back to the warehouse. Returned items are received, inspected and either re-stocked or set aside, instead of landing on your doorstep.

What to check before you choose a fulfilment partner

The connection between Shopify and the warehouse is where fulfilment succeeds or fails. Ask every provider these questions:

  1. How do orders reach the warehouse? Is it fully automatic, or does someone have to push orders through manually? Ask for a live walkthrough, not just a yes.

  2. How fast does inventory update after a sale? Slow syncing means overselling: two customers buy the last unit and only one gets it.

  3. Does tracking flow back into Shopify automatically? Your customers expect tracking without chasing you for it.

  4. How are bundles, kits and multi-location stock handled? If you sell sets or hold stock in more than one place, the system needs to cope.

  5. What is the dispatch cut-off, and is same-day dispatch standard? Get the actual cut-off time in writing; "fast dispatch" means nothing without it.

  6. How are returns processed? Look for inspection and re-stocking, not just a receiving dock.

Worked cost sketch: what 800 Shopify orders cost

Hypothetical example to show how the maths works at a typical growth-stage volume. Assumptions: 800 orders in a month, of which 600 are single-item and 200 contain two items each. Label service on every order. Packaging materials included in the pick fee. Storage and courier charges excluded.

  • Pick and pack: 800 orders x £0.70 = £560

  • Label service: 800 orders x £0.25 = £200

  • Additional picks: 200 second items x £0.40 = £80

  • Monthly total: £840, or £1.05 per order
